This Refund & Cancellation Policy applies to bookings made directly with The Golden Memories through our website, telephone, WhatsApp, email or other direct sales channel. Travel bookings often combine services supplied by different providers, so refund eligibility may differ from one component to another.

Most important rule

The cancellation/refund term written on the specific tour page, quotation, invoice, voucher or booking confirmation takes priority for that booking. For example, where a confirmed Golden Memories tour expressly states “cancel up to 24 hours in advance for a full refund”, that specific promise applies to the service expressly covered by it.

 

1. How to Request a Cancellation

Cancellation requests should be sent in writing to info@thegoldenmemories.com or through the WhatsApp/contact channel used for the booking. Please include the booking reference, lead traveller name, travel date and services to be cancelled.

For time-sensitive cut-offs, the cancellation time is the time at which our team receives the written request during the applicable time zone stated in the booking. We may request verification before processing a refund to protect against unauthorized cancellation.

2. Golden Memories Direct Tours

For a sightseeing/private-car/local tour that The Golden Memories directly sells and that expressly carries a free-cancellation commitment, the cancellation window shown on that tour page or booking confirmation applies.

Where the confirmed tour states “free cancellation up to 24 hours in advance for a full refund”, an eligible cancellation received at least 24 hours before the scheduled start time will receive a full refund of the amount paid for that covered tour. Cancellations inside the stated free-cancellation window may be non-refundable or may incur the charge stated in the booking terms.

For direct tours that do not display or confirm a standard cancellation window, the cancellation terms stated in the written quotation/confirmation apply.

3. Third-Party Components Are Subject to Supplier Rules

Airline tickets, hotel rooms, cruises, activity tickets, safari/forest permits, attraction tickets, insurance, visa-related services and other third-party components are governed by the cancellation, change, no-show and refund rules of the relevant supplier.

  • The Golden Memories does not create or control an airline’s fare rule, a hotel’s non-refundable rate, an attraction’s ticket rule or a government authority’s permit/refund rule.
  • If a supplier imposes a cancellation penalty or retains the full amount, we are not required to fund that supplier’s penalty from our own money, except where mandatory law requires otherwise.
  • Where a third-party refund is available, we will pass through the amount actually approved/released for the customer after deduction only of charges that were disclosed/contractually applicable and are permitted by law.
  • Supplier refund timelines begin with the supplier’s own processing and may therefore be longer than refunds for a service directly controlled by us.

4. Flight Tickets

Flight refunds, rebooking, cancellation, date/name changes, no-show treatment and airline credits are governed by the airline’s fare conditions and applicable aviation/consumer law. Some fares may be non-refundable or may only return specified taxes.

If an airline cancels or materially changes a flight, the airline’s available refund/rebooking options apply. We will assist with the request where the ticket was arranged through us. We are not liable for an airline’s operational cancellation, baggage loss, schedule change or refund-processing delay simply because we facilitated the booking.

5. Hotels and Accommodation

Hotel refunds depend on the selected rate plan and supplier terms. A flexible room rate may allow cancellation before a deadline, while a promotional, peak-period, group or non-refundable rate may allow no refund.

  • No-show, late check-in without notice or early check-out may result in full or partial forfeiture under the hotel’s policy.
  • Any hotel deposit, damage charge, resort fee or incidental amount collected directly by the hotel must normally be resolved with the hotel.
  • Where a hotel approves a refund through us, we will process the recoverable amount after it is released/confirmed by the supplier.

6. Package Bookings With Multiple Components

A single package price may contain components with different cancellation rules. Cancellation is therefore calculated component-by-component unless your booking confirmation expressly provides one package-wide cancellation rule.

For example, a private car component may be refundable while an issued flight, confirmed non-refundable hotel, visa fee or safari permit may not be refundable. The recoverable refund is the total of amounts refundable under each affected component, less applicable disclosed charges.

7. Safaris, Permits, Tickets and Limited-Capacity Activities

Government/forest safari permits, monument tickets, attraction tickets, event tickets, special entry passes and similar limited-capacity items may become non-refundable once issued or may be subject to strict cancellation rules. The applicable authority/operator policy controls.

If an activity is cancelled by the operator/authority because of weather, safety or operational reasons, we will assist with the reschedule, credit or refund that the operator/authority makes available.

8. Visa, Insurance and Documentation Services

Embassy/consular fees, government charges, insurance premiums and third-party documentation fees may be non-refundable after submission/issuance. A visa refusal does not automatically create a right to refund unrelated flights, hotels or other travel services; each component remains subject to its own cancellation terms.

Any professional/service fee charged by The Golden Memories for work already performed may be non-refundable if this was disclosed before purchase and is permitted by applicable law.

9. Customer-Requested Amendments

Changing dates, names, route, room category, hotel, flight, vehicle, activity or passenger count after confirmation may trigger supplier change fees, fare/rate differences, taxes or a disclosed amendment fee. If the requested change makes a service non-refundable or requires cancellation/rebooking, the resulting supplier rules apply.

10. No-Show, Late Arrival and Unused Services

A traveller who fails to arrive, misses a pickup/flight/activity because of late arrival, or voluntarily leaves a tour/holiday early may not be entitled to a refund for the unused portion. We will nevertheless pass through any amount a supplier confirms as refundable.

11. Cancellation by The Golden Memories

If we cancel a service that we directly control and cannot provide a reasonable agreed alternative, we will refund the amount paid for the affected Golden Memories-provided service.

For third-party services affected by supplier cancellation, closure, insolvency, schedule change or other supplier event, the customer’s remedy is subject to the supplier’s available refund, credit or replacement and mandatory law. We will provide reasonable assistance in obtaining that remedy.

12. Force Majeure / Extraordinary Circumstances

If travel is affected by an event beyond reasonable control – such as severe weather, natural disaster, epidemic/pandemic, war, civil unrest, strike, government restriction, border/airport closure, road closure, forest/monument closure or comparable event – we will first explore a practical reschedule, alternative or credit.

Where cancellation is necessary, refunds for third-party components are limited to amounts actually refundable/recoverable under the relevant supplier terms, subject to mandatory law. We do not guarantee reimbursement of non-recoverable supplier charges from our own funds.

13. Refund Calculation

Where a refund is approved, the refund may consist of:

  • the refundable amount of the affected Golden Memories direct service;
  • plus third-party amounts actually approved/released by suppliers;
  • less supplier cancellation/change/no-show charges;
  • less any clearly disclosed and legally permitted non-refundable service, consultation, convenience or amendment fee; and
  • less bank/payment-gateway charges only where such deduction was disclosed and legally permitted.

14. Refund Method and Processing Time

Refunds are normally returned to the original payment method or, where operationally necessary and legally permissible, to a verified bank account of the payer.

For refunds controlled entirely by The Golden Memories, we aim to initiate an approved refund within 7 business days after eligibility is confirmed. For supplier-linked refunds, we aim to initiate the customer’s refund within 7 business days after the supplier has approved/released the refundable amount to us or formally confirmed the amount recoverable.

Banks, card networks, UPI providers and payment gateways may take additional time to display the credit. International refunds may also be affected by banking days, currency conversion and intermediary charges.

15. Foreign Currency and Exchange Differences

Where a booking or supplier refund involves foreign currency, the rupee/foreign-currency amount received by the customer may differ from the amount originally charged because of exchange-rate movement, card-network conversion, bank charges or supplier settlement currency. We are not responsible for exchange differences imposed by banks, card networks or suppliers.

16. Refund to Different Account / Fraud Prevention

For security, we may refuse to refund to an unrelated third-party account unless the original payer provides satisfactory authorization and verification. We may request proof of payment, identity or bank details before releasing a refund.

17. Chargebacks and Duplicate Recovery

If a customer initiates a bank/card chargeback while a refund or supplier claim is already being processed, we may pause duplicate refund processing until the payment dispute is resolved. A customer is not entitled to recover the same amount twice.

18. How to Raise a Refund Dispute

If you believe a cancellation fee or refund amount is incorrect, email info@thegoldenmemories.com with the booking reference and supporting documents. We will review the booking-specific terms and, where relevant, obtain the supplier’s calculation or response.
